Privacy policy

Last updated: 2 November 2026

This policy explains what information AURA Consultancies collects, how we use it and how we protect it. It covers this website, the enquiries you send us, and the data held in the systems we build for our clients.

In short

  • We collect only what you choose to send us, and use it only to work with you.
  • We never sell your information or share it for marketing.
  • Data in the systems we build belongs to our clients. We keep it confidential and never share it.
  • We show the design of systems we build in our portfolio, always with sample data. No real records, users or respondents ever appear on this website.
  • This website has no advertising or analytics cookies and no tracking.

Who we are

This website is run by AURA Consultancies , a software company. We are responsible for the information described in this policy. For any question about it, email us.

Information you send us

When you send an enquiry through our contact form, we collect the details you enter:

  • your name, organisation and email address
  • your phone number, if you give it
  • the service you are interested in, your budget and your timeline
  • what you tell us about your project
  • that you agreed to us using these details to reply

If you email or call us, or we work together on a project, we also keep the messages, documents and contact details you share with us during that work.

Information collected automatically

Like any website, our hosting provider records basic technical information when pages are requested, such as your IP address, browser type and the pages visited, in server logs. These logs are used only to keep the website running and secure.

The contact form uses Cloudflare Turnstile to check that it is being used by a person and not a bot. Turnstile processes technical information about your browser and device for this purpose only. See Cloudflare's privacy policy for details.

Cookies and tracking

We do not use advertising cookies, analytics tools, tracking pixels or social media trackers. Our fonts and images are served from our own website, so loading a page does not send your details to font or image services. Turnstile may set a cookie that is strictly needed for its security check.

How we use your information

We use the information you send us only to:

  • reply to your enquiry and discuss your project
  • prepare proposals, agreements and invoices
  • deliver, support and maintain the work we do for you
  • meet our legal, tax and accounting obligations

We will not add you to a mailing list or send you marketing without asking first.

Who we share it with

We do not sell, rent or trade your information, and we do not share it with anyone for their own marketing. We share it only:

  • with service providers who help us run our business, such as website hosting, email and spam protection, and only as much as they need to provide that service
  • when the law requires it, for example in response to a valid order from a court or authority

Client and project data

Many of the systems we build, such as field data collection apps, dashboards and forms, hold information about our clients' staff, beneficiaries or survey respondents. That data belongs to our client, not to us.

  • It stays confidential. We do not share it, sell it or show it to anyone outside the project.
  • We use it only for the project. We access it only as far as we need to build, test, deploy and support the system, and never for any other purpose.
  • We protect it. We limit access to the people working on the project and use safeguards such as encrypted connections, password-protected accounts, role-based access and backups.
  • We hand it back. When our work ends, we return or delete the client's data as agreed with them, and do not keep copies of real records.

Where a client has its own data protection or confidentiality terms, we follow those as well as this policy.

Our portfolio

The design and features of the systems we build are our work, and we show them in our portfolio on this website. Unless a client asks otherwise in writing, we may name the project and show its screens.

Every screenshot in our portfolio is taken from a demo copy filled with sample data that we make up. Names, ID numbers, phone numbers, addresses and figures shown in our case studies are not real, and no real data from any client, user or respondent ever appears on this website. If you are a client and would like your project shown without your name, or not shown at all, email us and we will update it.

How we keep information safe

We use encrypted connections (HTTPS) for this website, limit access to information to the people who need it, and keep our accounts and devices protected. No system is completely secure, but we take reasonable steps to protect what you share with us and will tell affected people promptly if a serious problem occurs.

How long we keep it

  • Enquiries that do not become projects: deleted within 12 months of our last contact.
  • Project correspondence and agreements: kept for as long as we work together, and afterwards only as long as the law requires for tax and accounting records.
  • Client project data: returned or deleted when our work ends, as agreed with the client.

Your rights

You can ask us at any time to:

  • tell you what information we hold about you and send you a copy
  • correct information that is wrong or out of date
  • delete your information, unless we must keep it by law
  • stop using your information for a particular purpose

Email us. We will reply within 30 days. If your information is held in a system we built for a client, we will pass your request to that client, as they decide how their data is used.

Children

This website is meant for organisations and businesses. We do not knowingly collect information from children.

Links to other websites

Our case studies link to the live websites of projects we have built. Those websites are run by our clients and have their own privacy policies.

Changes to this policy

We may update this policy when our services or the law change. The date at the top shows when it last changed.
